The Sri Lanka Institute of Directors (“SLID”, “we”, “us” or “our”) is committed to protecting the privacy of our members, event delegates and website visitors. This Privacy Policy explains what personal information we collect through slid.lk, why we collect it, how we use and protect it, and the choices available to you.
By using this website, applying for membership, or registering for an SLID event or programme, you agree to the collection and use of information in accordance with this Policy.
1. Information We Collect
We collect only the information we need in order to administer membership, deliver our programmes and meet our obligations as a professional institute.
1.1 Information you provide to us
- Membership applications: your name, title, designation, organisation, professional qualifications, directorships and board experience, email address, telephone number, postal address, photograph and any supporting documents you upload.
- Event and programme registrations: your name and the names and email addresses of the participants you register, organisation, contact details and any dietary or accessibility requirements you choose to share.
- Enquiries and correspondence: information contained in messages you send to us by contact form, email or telephone.
- Payment details: the billing name, address, email and telephone number required to process a payment, together with the amount and reference of the transaction.
1.2 Information collected automatically
- Your IP address, browser type, device type and operating system.
- Pages viewed on this website, the date and time of your visit and the website you arrived from.
- Information stored in cookies and similar technologies (see Section 7).
1.3 Information we do not collect
SLID does not collect or store your full payment card number, card expiry date, CVV or online banking credentials. All card payments are processed on the secure hosted payment page of our payment service provider, and those details are never transmitted to or held on SLID’s systems.
2. How We Use Your Information
We use your personal information to:
- assess, process and administer membership applications, renewals and membership records;
- issue membership numbers, membership certificates, invoices and receipts;
- register you or your nominated participants for events, programmes and training, and issue e-tickets, check-in codes and attendance certificates;
- process payments and maintain the financial records required by law;
- communicate with you about your membership, bookings and the status of your applications;
- send you SLID newsletters, event invitations, publications such as The Director, and other member communications;
- publish the names, designations and photographs of members of our Governing Council, committees and forums on this website, where you hold such a position;
- respond to your enquiries and provide support;
- improve the content, performance and security of this website;
- comply with applicable laws, regulations and our own by-laws.
3. Legal Basis and Consent
We process your personal information on the basis of the contractual relationship between you and SLID as a member or delegate, our legitimate interests as a professional institute, our legal obligations, and — where required — your consent. Where we rely on your consent, you may withdraw it at any time by writing to us at the address in Section 12.
4. Sharing and Disclosure
We do not sell, rent or trade your personal information. We share it only in the following circumstances:
- Service providers: with organisations that provide services to us — website hosting, email delivery, payment processing, event management and accounting — who are permitted to use your information only to provide those services to SLID.
- Payment gateway: with our payment service provider, who receives the billing and transaction information necessary to process your payment.
- Event partners and sponsors: where an event is delivered jointly with a partner, we may share the delegate list to the extent necessary to administer that event. We will tell you at the point of registration where this applies.
- Legal and regulatory: where disclosure is required by law, by a court or regulator, or is necessary to protect the rights, property or safety of SLID, our members or others.
5. Member Directories and Published Information
Members holding positions on the Governing Council, committees or forums should expect their name, designation, photograph and role to be published on this website and in SLID publications as part of our governance transparency. If you do not wish your photograph to be published, please write to the Secretariat and we will remove it.
6. Data Security
This website is served over an encrypted HTTPS connection. Member records are held behind password-protected accounts, administrative access is restricted to authorised Secretariat staff, and payment transactions are handled entirely on our payment provider’s secure infrastructure. While we take reasonable technical and organisational measures to protect your information, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
You are responsible for keeping your member account password confidential. Please notify us immediately if you believe your account has been accessed without your authority.
7. Cookies
This website uses cookies and similar technologies to keep you logged in to your member account, remember your preferences, maintain the security of your session and understand how the site is used. Most web browsers allow you to refuse or delete cookies through their settings; if you disable cookies, the member login area and the booking process may not function correctly.
8. Third-Party Links
This website contains links to third-party websites, including those of our partners, sponsors and payment provider. We are not responsible for the privacy practices or content of those websites, and we encourage you to read their privacy policies before providing any personal information to them.
9. Data Retention
We retain membership records for as long as you remain a member and thereafter for as long as necessary to maintain the historical record of the Institute and to meet our legal, accounting and audit obligations. Event registration and payment records are retained for the period required by applicable financial and tax law. Enquiries and correspondence are retained only for as long as needed to deal with the matter raised.
10. Your Rights
You may, at any time:
- request a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete information we no longer need to hold;
- unsubscribe from our marketing and newsletter communications using the link in any such email, or by writing to the Secretariat;
- object to a particular use of your information, or withdraw a consent you have given.
Members can review and update much of their own information directly in the My SLID area of this website. For anything else, please contact the Secretariat using the details in Section 12. We will respond to your request within a reasonable period.
11. Children’s Privacy
This website and SLID’s services are intended for directors, senior executives and professionals. We do not knowingly collect personal information from children under the age of 18. If you believe a child has provided us with personal information, please contact us and we will delete it.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in the law. The revised policy will be posted on this page with a new “Last updated” date. Material changes affecting members will also be notified by email.
